Operations Assistant
Responsibilities & Duties :
Greeting visitors and answering phones
Making adjustments to staff schedules and updating the master calendar
Coordinating Staff Meetings
Writing down minutes and meeting summaries
Running errands
Picking up supplies and office equipment
Filing forms and documents
Sending invoices and collecting receipts
Client Coordination:
Analyzing market research to help marketing team with client acquisition
Prioritizing tasks based on importance and urgency
Documenting every contact with clients in Communication boards for all employees involved in the project.
Creating proposals and updating production plans as information comes from client
Resolving client concerns in a timely manner
Admin:
Handle administrative requests and queries from senior managers
Organizing and scheduling appointments with admin software
Attending, planning, and taking detailed minutes from meetings
Schedule in-house and external meetings for Senior Management
Distribute incoming mail
Manage and order office supplies
Make travel arrangements for out of town shoots
Organize company documents into updated filing systems
Address employees’ and clients’ queries (via email, phone or in-person)
Prepare presentations, spreadsheets and reports for senior management
Update office policies as needed
